Happy Hearts Child Care

A Parent Handbook is a vital part of learning about your child's child care provider.



In helping select the most comfortable childcare for you and your child, I have put together the following information on the policies that govern this childcare home.

Visits: Drop in visits and phone calls are always welcome. Please feel free to come anytime your child is in my care, as I have an open door policy.

Drop-ins: There are times when you may need last minute childcare. I am open to taking children for emergencies; however there will be a higher fee charged depending on day and time needed.

Fees: A contract will be filled out before the child attends the Child Care. The amount charged is based upon a maximum number of hours the child(ren) will be scheduled to attend the Childcare. The following is a chart of how these fees are set:

Children birth to 5 years $120.00 per week; children attending 1/2 day preschool are $85.00 per week during the school year.
School Age Children care: $120.00 per week.
Drop In Care is $30.00 per day

Childcare Fees must be paid every Friday beginning with the First Friday, failure to pay by the third day following the agreed upon date will result in termination of services. A late fee of $5.00 per day will be charged on all late accounts. A $20.00 returned check fee would be assessed if a check is returned non-payable.

If the child is unable to attend the Child Care on his/her scheduled hours the fee will be charged. The parent is not expected to pay for scheduled hours if (a) Family vacation with a thirty day notice given by the parent of the child (time more than one week per year will be charged.) YOU NEED TO CALL AS SOON AS POSSIBLE WHEN YOUR CHILD WILL NOT BE PRESENT FOR THEIR SCHEDULED HOURS.

Drop-off Expectations: When dropping off your child I expect the following from the parent:
1. The child is dressed and ready for the day. Please be mindful of the weather situation for the day and dress appropriately.
2. All food is consumed and not brought in to the Childcare.
3. Child is dropped off on scheduled time (late or early drop offs may interfere with outings.).
4. All necessary information is given to the provider, such as whether the child had a good night, is feeling all right, had a rough morning, etc.

The parent can expect the provider to be professional, ready for the child, give all necessary information for the day such as a planned field trip, planned absence and all forms ready to be signed.

Meals: In participating in the Food Program, the meals will be provided. Each meal/snack will be well balanced. I encourage each child to try different foods, however I will not force a child to eat. An alternative will be given if the child has tried and doesn't like the choice of food. It is important I know if your child has any allergies to foods so I can better plan the meals.

Early Education Practices:. In taking the time to help each child develop to their full potential, I have written and planned age appropriate activities and outings. The activities involved in teaching the children often are daily activities; some are more formal for the older children. The emphasis of the program is to teach language skills, develop both fine and gross motor skills according to the age of the child and to enhance alphabetical, numerical and sequential skills of the toddler and preschoolers through songs, finger plays, puppet plays, crafts and large motor activities. This program is of no extra cost to you, however, in attempting to keep Child Care costs minimal to parents your child needs to be here for their scheduled hours in order to participate in the activities.



Activities: Our daily activities vary from day to day and depend on which age groups are present. We do try to adhere to a basic daily schedule. This includes story time; free play time, art and music activities, directed play and outdoor play. In order that all children are able to participate in all activities I ask that each child be dressed appropriately for indoor and outdoor play. Please feel free to keep a change of warmer clothes in the child's cubby in the winter for the outdoor time. I am required by licensing laws to take children outdoors each day for at least an hour except during extreme weather (above 95 degrees or below 35 degrees.)
Activities also include field trips and special visitors. These activities will be given in detail in the newsletter as well as the monthly activity calendar.

Personal Belongings: I welcome children to bring a special blanket, pillow or snuggly item for naptime. On Fridays they are allowed to bring a favorite toy or video to be shared. If your child does not share well with their personal items they may be asked not to participate in this activity.
I ask that each child bring an extra change of clothing to remain in the Child Care as accidents do occur and children do get dirty when playing outside or participating in crafty activities. Each article of clothing must be marked with the initials of the child.
In special occasions when you will be needing a child to be dressed and groomed a certain way to go out after being picked up I ask that you let me know what you need done to help make your day easier.

Supplies: The parent is responsible for bringing diapers (a package of diapers is needed to be kept in their cubby), pacifiers, special dietary needs, etc. I will provide any craft and learning supplies, wipes, formula and food that may be needed. The parent is also responsible for proper clothing for the child; this includes hats, coats, proper footwear, and mittens in winter and light clothing for the summer, which includes a bathing suit.

Pick Up Times: It is important that you pick your child up on time. Our family plans activities outside of Child Care hours and late pick-ups interfere with those plans. There is also a limit to the number of children allowed in my care at any given time, and by being late I may go over this limit and therefore be subjected to penalty by the State. It is also important that I am informed on who will be picking up the child. If another person is to pick up the child(ren) the parent must give written permission, upon arrival the other person must show I.D. If for some reason your pick up time is going to be much later than normal or another is picking up your child(ren) at the last minute PLEASE CALL AS SOON AS POSSIBLE.

Transportation: Children are assigned a specific car seat that is adjusted to their shape and size. (We will try to walk when time and weather allows.)
We will have field trip outings. These will be announced in the newsletter and on the monthly calendar. Sometimes we will travel by buggy and other times by car.
When leaving the premises of the Childcare you will be asked to sign a permission form.

Illness: Please call as soon as possible when your child is ill and will not be attending Child Care. I ask that you not bring a child that has a temp of 100.0 or above, a child that is vomiting, diarrhea or any type of contagious rash. For the sake of spreading a contagious disease please wait to bring your child until these symptoms have cleared for at least 24 hours. If a child begins to display these symptoms while in my care I will call to ask you to pick your child up.

Medications: Medications must be in original bottles and labeled with child's name. Prescription medication must be in its original packaging with the child's name, dosage and Dr.';s name on the label. With many kids in my care it is easy to make mistakes this is why writing down this information is very important. The parent will also be asked to sign a permission to dispense the medication form. In the event that a child needs Tylenol or like pain relief verbal permission may be used through a phone call.


Substitutes and Helpers: The substitutes I have hired have all passed physical exams as well as KBI background checks. These helpers will fill in for my vacations and personal days so that the care of your child will remain consistent. My absence may also occur for doctor's appointments, dentists, or professional days. There are several conferences/professional trainings a year which I attend. If you are uncomfortable leaving your child during these extended absence times it is then your responsibility to make the proper arrangements for your child.

Communication: I encourage parents to give feedback. I try to daily communicate with parents through daily reports both written and orally, monthly newsletters and calendars, and semi-annual conferences. I feel that it is very important to keep the lines of communication open. I check my email during business hours as well as in the evening; the childcare phone is answered until 10:00 p.m. on weekdays and my voicemail is on during the weekends.

Parent Participation: Parent participation through parent/teacher conferences, daily reports, phone calls and classroom help is essential to a teamwork atmosphere. I will hold parent/teacher conferences in August and April of each year; this is a wonderful opportunity to see how your child has grown and to plan ahead for future development. Conferences help parents and I celebrate each child! Daily reports are given in a written form for all children two and younger. Phone calls and classroom help is always welcome!

Termination: Parent or Provider may terminate the contract by giving a two-week written notice. If a two-week notice is not given to the Provider by the parent then the fee of two weeks of care will be charged to the Parent. The Provider will give a two week notice to the Parent unless the children involved are endangering other children in the Child Care, or the Parent has failed to pay the agreed upon fee by the third business day in such case an immediate termination will take place.


**The provider reserves the right to have a two week trial period. If for any reason the provider or parent feel that Happy Hearts Childcare is not the right place for the child during the first two weeks of enrollment then the contract can be broken with no penalty. The time the child was in care must be paid upon departure.


As all things, some policies may see some change from time to time. As these changes occur you will receive written updates. Please feel free to ask any questions at any time. I am very open to discuss any concerns you may have.
